How can we get GPs to dictate letters according to SIGN guidelines

We have found it helpful to place labels with the appropriate headings on desks and dictaphones. Once accustomed to the idea, GPs have found the discipline of including all the requested data has resulted in better letter standards. Although it is easier for the letters to be dictated in correct order, it is not essential as the SIGN wizard can move back as well as forward.

Can 2nd Opinion import clinical data from GPASS

Yes, "2nd Opinion" uses the GPASS v4 Open Interface to read practice, clinical and demographic data from GPASS.

When creating a referral letter, the data is entered into the Word document very slowly. Can this be speeded up?

If MS Office 97 Service Release 1 and 2 have not been installed, install these now.
[This can be checked by viewing Help, About in MS Word]
Service Releases are on "2nd Opinion" installation CD and can also be obtained from www.microsoft.com and many magazine cover disks (eg PC Pro).

Start MS Word and minimise before creating a referral letter

Increase memory (RAM) - a minimum of 32Mb is required

 

What happens if a letter is inadvertently typed with the wrong consultant/hospital/speciality?

(Editing the Word file doesn't adjust the statistics appropriately.)

  • The database can be easily corrected by deleting the old record
    • Data, Referral Data, Select Referral, Edit, Delete
  • then re-entering
    • Data, Referral Data, Edit, Add

I get messages saying "Can't find ....\Clinics.mdb" on a network setup.

To avoid these messages a valid Clinics.mdb must be present in the C:\Program Files\2nd Opinion folder.
To rectify this:

  • Set Clinic database folder to C:\Program Files\2nd Opinion (Edit|Settings|File Locations) and restart 2nd Opinion (Don't opt to load one from the CD - choose Cancel).
  • This will recreate an empty Clinics.mdb in C:\Program Files\2nd Opinion.
  • Reset Clinic database folder to your preferred folder (eg \\gps99999serv1\Opinion2\) and restart 2nd Opinion.

I get messages saying "Can't find ....\ReferralData.mdb" on a network setup.

To avoid these messages a valid ReferralData.mdb file must be present in the C:\Program Files\2nd Opinion folder.
To rectify this:

  • Set Referrals database folder to C:\Program Files\2nd Opinion (Edit|Settings|File Locations) and restart 2nd Opinion
  • Go to Data, Referrals to check an empty database file has been created in C:\Program Files\2nd Opinion
  • Reset Clinic database folder to your preferred folder (eg \\gps99999serv1\Opinion2\) and restart 2nd Opinion.

Can I combine Clinics Database files for different areas?

Not easily but the Clinics database is fully customisable for the requirements of your practice.
However Consultant and Hospital lists in csv format can be readily imported (These are included on CD)

Can I use 2nd Opinion for Admissions?

Yes, add the ward as a clinic. The Specialist may be left blank.
eg "-" "-" "Ward 10" "St Elsewhere's Hospital"
If the word ward is included in the clinic title, admission will be selected automatically

Can you amend your mistake by going "back", after having ticked the wrong medical history [or drugs] item?

Yes: "Clear" Step 6 (Past Medical History) first.
Then on going back the Insert dialog will reappear.

Then on going back the Insert dialog will reappear.]

 

Jet database engine cannot open the file . . . Clinics.mdb

'Jet database engine cannot open the file \\gps99999serv2\opinion2\clinics.mdb. It is already in use exclusively by another user or you need permission to view its data'.
This error message will occur if the clinics.mdb file has been set to readonly. This commonly occurs if you simply copy a clinics.mdb file from the cdrom. Correct this by rightclicking on file within explorer, choose Properties and set to full access by all domain users.

Two 2nd Opinion tabs are present on GPASS Consulting Room extension after upgrading 2nd Opinion

Two 2nd Opinion tabs may be present on GPASS Consulting Room extension after upgrading 2nd Opinion, one titled 2nd Opinion the other Opinion2. This results from the "Floating point error" fix. It is easily corrected by unticking the Consulting Room Extension option through 2nd Opinion (Edit, Settings, Options), closing and opening 2nd Opinion, then reticking Consulting Room extension option.

Setup Initialization Errors

1. "Setup is unable to find _setup.dll which is needed to complete installation"

This error message has occurred on some machines during installation (on 2nd phase in which MS Data Access Components are installed)

FIX: Run mdac_typ.exe which is included on the CD.
This will independently install MS Data Access Components 2.5.
Then run setup from CD again

2. "Setup requires _SETUP.DLL and _ISRES.DLL (located in _SETUP.LIB) in order to operate properly"

This is usually caused by a TEMP folder that is full but also can be caused if installation of another program using InstallShield has been prematurely aborted, so leaving files behind that would normally be deleted

FIX:

  1. Delete all tmp files in temp folder (usually c:\windows\temp or c:\winnt\temp) then run setup again
  2. Run mdac_typ.exe (included with installation files).
    This will install MS Data Access Components 2.5 first and often appears to fix the problem.

Then try running 2nd Opinion setup again
